Information in an enquiry

The public enquiry forms ask only for contact, group and trip-planning information such as name, email, phone or WhatsApp number, group details and preferred dates. Do not submit individual dietary, allergy, medical, medication, accessibility, safeguarding, consent or emergency-contact information in a public enquiry. If a booking proceeds, the camp will provide a protected portal for the minimum necessary participant-care information.

Purpose and handling

We use enquiry information to understand your request, reply, prepare a possible camp proposal and coordinate relevant planning if you proceed. Public enquiry and quote forms use Netlify form handling. The planned protected booking service uses Supabase and will not be activated for participant-care information until its privacy, access and retention settings are approved.

Information is transmitted when you submit a form and is stored with the form handling used by the site and in the records needed to respond and plan. Access should be limited to people who need it for those purposes.

Protected booking and participant-care records

If the protected portal is activated, it will keep the minimum necessary dietary, medical, emergency-contact, accessibility, medication/support and consent records encrypted and separate from public enquiry data. Access is limited by role and booking assignment and is recorded for audit. Camp administrators have the complete view needed for safety oversight; other authorised organisers and care staff receive narrower, consent-controlled access. Tourism partners receive no participant-care information.

The separate Life in the Day of AJ dashboard may receive only group-level operational booking details and summary readiness states. It must not receive participant names, rosters, care details, emergency contacts or consent records and documents.

Retention, rights and requests

We do not state a fixed retention period here. Information should be kept only as long as reasonably needed for the enquiry, planning, record-keeping or legal obligations that apply.
